What does the registration fee cover?

Can I participate in a 25K without a prior timing certificate?

Yes. You can participate in the 25K race category without a prior timing certificate under the general criteria.

As a Women participant, is it mandatory for me to submit the prior timing certificate to participate in the 25K race category?

To encourage women’s participation, there are a limited number of running places reserved for women applicants who cannot submit a timing certificate or do not fall within the timings criteria.
 

Can I participate in the Open 10K without a prior timing certificate?

Yes. You can participate in the Open 10K race category without a prior timing certificate under general criteria.

Who all can participate in the Champions with Disability race category?

Participation in the Champions with Disability (CWD) is open for individuals with the following disabilities: physical/locomotor disability, intellectual impairment, visual impairment, hearing impairment and orthopedic or neurological disorder.

Is it mandatory to participate with a Buddy (attendant) in the Champions With Disability race category?

We recommend participants of the Champions with Disability be accompanied by his/her Buddy (attendant) on race day. The buddy must be 18 years and above (born on or before 16th December 2005).

Is attaching a passport sized photograph with the online application form compulsory?

Yes, it has to be provided with each application form at the time of submission of application. Online applicants need to attach their photograph with their face clearly visible whilst submitting the application; the photograph size should not exceed 3 MB in .jpeg and .png format.

All participants’ race day images will be screened visually after the race and matched with the photo provided at the time of registration. If the photo provided during registration does not match with the race day photo of the confirmed participant, the registered runner will be disqualified from the race and the subsequent edition of the event.

Is attaching a Govt. issued photo ID proof with my application compulsory?

Yes, applicants need to attach their Govt. issued photo ID proof whilst submitting the application; the photograph size should not exceed 3 MB in .jpeg and .png format.

Govt. issued photo ID proof will include documents like Passport, PAN Card, and Aadhaar Card

Is it mandatory to submit PAN card details, for the donation I made during the registration process?

How can an overseas applicant apply for the Event?

In whose name should the cheque or demand draft be made in case of group registrations?

Which payment mode will be accepted for online registration?

An online applicant can pay ONLY via credit card, net banking, debit card, UPI and payment wallets.

How will my entry acceptance be intimated to me?

Post 7 days of registration, individual applicants are required to go to the TSK25K website, login into their profile using the registered email id and check “profile” for their application status.

Can I register for more than one race category at the event?

No. An individual can apply only for one race category at the event. Multiple applications will entail all being rejected.

What are the refund policies?

  1. Once applied, no requests for cancellation and refund of application fees will be entertained under any circumstances.
  2. Where your application is rejected for reasons whatsoever, the entry fee component paid will be refunded on or before 25th January 2023. An amount of ₹ 175 will be deducted as processing charges.
  3. Application fees shall not be refunded by virtue of non-participation, including failure by a confirmed participant to collect his/her bib from the Mirchi Get Active Expo or not allowed to run on the race day due to high temperature or being unwell.
  4. Any refund discrepancies must be brought to the attention of the Event registration team immediately. Refund queries will not be entertained post 25th January 2023

Will I be eligible for a refund in case I didn’t pick up my confirmed bib from the Mirchi Get Active Expo?

How can I surrender my 25K race bib if I am unfit to run?

Participating in a race category like the 25K without proper training and while experiencing illness or injury can pose serious risks to your health. It is important to prioritize your well-being and avoid potential medical emergencies on race day. If you are a confirmed participant in the 25K race and find yourself unable to participate due to unavoidable circumstances such as injury or illness, you have the option to surrender your bib to Procam International.
To initiate the bib surrender process, you can fill out the bib surrender request form available here. Please note that a processing fee of INR 250 will be deducted from the refund of your application fees. The bib surrender period is open from 1st November 2023 (1000 Hrs) to 17th November 2023 (1900 Hrs).

Will I get a refund of my entry fees if my application is not accepted?

Participation in the event is subject to entry confirmation. Where your application is not confirmed for any reason, the application fees paid by you will be refunded on or before 25th January 2023. An amount of ₹175 will be deducted as processing charges. Any refund discrepancies must be brought to the attention of the event registration team immediately. Refund queries will not be entertained post 25th January 2023.

Will I get a refund for unused codes?

Once online codes are purchased, they can only be used online for the Tata Steel Kolkata 25K 2023 edition and till the time registrations are open or running places are available. The amount against unused codes can be refunded after deducting the processing fees of INR 175. The refund will be made by 25th February 2023.

Once I have applied can I cancel my application and get a refund?

Can I change my race category once I have applied/my application is confirmed?

Once you have applied for a particular race category, you cannot change your race category.

Will I get a timing certificate and finisher medal for participating in the 25K Category/Open 10K (10 Kms) Category?

Yes, all finishers of the 25K/Open 10K race categories will get the finisher medal post their run on race day (medals will not be posted to individual runners). While provisional results will be available by 5 pm on race day, timing certificates of marathon finishers will be available for download from https://www.sportstimingsolutions.in post 21 working days from race day.

Will I get a timing certificate and medal for participation in the Ananda Run (4.5 kms approx.) Category?

The Ananda Run category is a participative, fun run. Being a non-timed category, finish timings of participants will not be captured; timing certificates will not be issued for this category. All finishers of the Ananda Run race category will get the finisher medal post their run on race day (medals will not be posted to individual runners). Will I get a timing certificate and medal for participation in the Silvers’ Run (2.3 Kms) Category?

When will I get my application confirmation and how?

Application confirmation will be sent on your registered email id and will also be updated in the web profile on the TSK25K website post 7 working days of your registration. You need to login with your registered email id to view the same.

Can I register for my friend?

No. An applicant has to sign/agree to the waiver/consent himself/herself. You cannot register on your friend's behalf.

What will happen once I submit my 25K application under confirmation criteria?

Your application for the 25K will be confirmed based on the confirmation criteria mentioned above. Please note, confirmation is subject to –

  1. Verification of valid timing certificate submitted by you (if applicable).
  2. Verification of documents, where applicable, submitted by you.
  3. Verification of your application’s eligibility under each criterion.
  4. Availability of running spaces under each criterion.

Can I and my group of friends/colleagues submit our applications together as a group?

Group entries will be accepted for the 25K, Open 10K, Ananda Run, Silvers’ Run and Champions With Disability category. There has to be a minimum of 20 individual entries to comprise a group.

A. Group Registration Process where the group/corporate is sponsoring the entry fees of its team members/employees for the 25K, Open 10K, Ananda Run/Silvers’ Run/Champions with Disability participative category.

A.1. ONLINE REGISTRATION PROCESS

  1. Point of contact of the group/ corporate (PoC) to email the request to corporateregistration@procam.in with the number of registrations required in the 25K/Open 10K/Ananda Run/Silvers’ Run/Champions with Disability race category, mentioning the group name.
  2. Post receiving the group/ corporate group registration email request, the PoC will be emailed the payment link to pay the cumulative entry fees of all its team members.
  3. On making online payment, PoC to share online payment receipt on corporateregistration@procam.in  with group/corporate details. No codes will be shared if the payment receipt is not shared with us on email: corporateregistration@procam.in. The amount against unused codes will be refunded after deducting the processing fees of INR 175 from the total refundable amount. The refund will be made by 25th February 2023.
  4. On receiving payment confirmation, a receipt voucher of registration fees will be generated and sent by PIPL to the PoC’s email address.
  5. The TSK25K registration team will email PoC the unique codes required to get the individual team members registered online to be part of the group. 
  6. All members of the group/corporate need to individually register online here using the online codes issued by PIPL.
  7. By using the code, the team member is not required to pay the applicable entry fees of the 25K/Open 10K/Ananda Run/Silvers’ Run/Champions with Disability category. However, where he/she wants to, the team member can make an additional payment in the form of donation for an NGO of his/her choice; such payment will not be sponsored by the group/corporate in question.
  8. Purchasing online codes does not guarantee entry to the event. The members of the group/corporate need to register online here using codes before the registration end date or till the running spaces are available for the on-ground 25K/Open 10K/Ananda Run/Silvers’ Run/Champions with Disability category at the TSK25K 2023 edition. Registrations will close as and when the running spaces are filled.
  9. Once online codes are purchased, they can only be used online for Tata Steel Kolkata 25K 2023 edition and till the time registrations are open or running places are available. The amount against unused codes can be refunded after deducting the processing fees of INR 175. The refund will be made by 25th February 2023.
  10. Team members not mentioning the online code given by PIPL, and as intimated to them by their PoC, will not be considered to be part of the group. Such applicants will be required to collect their running number bib from the Mirchi Get Active Expo separately. No provision of refunding the individual payment or adding such participants in the group will be entertained.

OR

A. 2. OFFLINE REGISTRATION PROCESS VIA PHYSICAL FORM

  1. All members of the group/corporate need to individually fill the application form attached in the email issued by PIPL and attach all relevant documents with the form. To receive soft copy of the application form, please write to us at corporateregistration@procam.in 
  2. The POC of the Group will have to provide the below mentioned documents:

i. A covering letter on an official letterhead issued by the company/NGO/any other entity. The format of the covering letter is attached and will include the details given below:

o   Name of the group/corporate.

o   Total Number of entries in each race category.

o   Payment mode selected: i.e. Cheque/DD/Card Payment/NEFT/online/Cash.

o   Name, contact number, email id of the one point of contact of the group and address of the group/corporate/entity/NGO.

o   GST Number of the company/entity to raise an invoice.

o   State Name and State Code to raise an invoice.

  1. The POC of the group will have to submit all the application forms filled out by the members of the group at our registration office. (Call us at +91-9867722855 or write to us at tsk25k@procam.in, to know the address of our registration office)
  2. POC needs to make the payment by Cheque/Demand Draft. (All cheques and demand drafts to be drawn in favour of “PROCAM INTERNATIONAL PVT. LTD.")
  3. Post receiving all the above given documents with payment, an invoice will be sent to the point of contact’s email address mentioned in the covering letter.
  4. SPOC of the group will be able to collect running bibs of all the group members, who have registered, from the expo.
  5. All requisite mandatories (submission of mandatory documents) will apply for all team members registering under the group.

B. Group Regitration Process where individual team members/ employees will be paying their own entry fees for the on-ground 25K/Open10K/Ananda Run/ Silvers’ Run/Champions with Disability participative category.

ONLINE REGISTRATION PROCESS

  1. Point of contact of the group/ corporate (PoC) to email the request to corporateregistration@procam.in with number of registrations required in the 25K/Open 10K/Ananda Run/Silvers’ Run/Champions with Disability race category, mentioning the group name. 
  2. The TSK25K registration team will email PoC the common code required to get the individual team members registered online to be part of the group.  
  3. All members of the group/corporate need to individually register online here using the common code issued by PIPL, and pay the applicable entry fee.
  4. Purchasing the common code does not guarantee entry to the event. The members of the group/corporate need to register online here using code before the registration end date or till the running spaces are available for the on-ground 25K/Open10K/Ananda Run/Silvers’ Run/Champions with Disability category at the TSK25K 2023 edition. Registrations will close as and when the running spaces are filled.
  5. All requisite mandatories (submission of mandatory documents) will apply for all team members registering under the group.

How can I collect my bib for the race?

  1. In order to collect running number bibs from the Mirchi Get Active Expo from Thursday, 14th December to Saturday, 16th December 2023, participants will need to choose their bib collection time slots. Slots will be assigned on a first-come, first-served basis. Confirmed participants residing in Kolkata are requested to choose their bib collection time slots across 14th and 15th December, allowing time slots available on 16th December for outstation participants to collect their number bibs. 
  2. It is mandatory for all individual participants of the 25K and Open 10K race categories to collect their running numbers personally from the Bib Collection Centre within the Mirchi Get Active Expo. Confirmed participants must carry along following documents in order to collect his/her number bib:

(i)    Application confirmation.

(ii)   Govt. approved photo ID proof.

  1. In case of unavoidable circumstances, a runner confirmed in any of the above 2 mentioned race categories can send his/her representative to collect running number bib on his/her behalf. Please note, a representative will not be allowed to collect running number bib on behalf of more than ONE participant. The representative must carry along following documents for number bib collection:

(i)   Application confirmation.

(ii)   Govt. approved photo ID proof of the runner.

(iii) Govt. approved photo ID proof of the representative.

  1. Group collection for 25K/Open 10K/Ananda Run, Silvers’ Run and Champions With Disability participants: 

A group can send their representative/s to collect the running number bibs on behalf of their team members. Running number bibs of the entire group participating in 25K, Open 10 K, Ananda Run, Silvers’ run and/or Champions With Disability category/ies will be handed over at one go. Groups need to select bib pick-up slots online. The representative/s need to carry the following documents for collection of number bibs:

(i)  Printed copy of group confirmation email sent across to the group’s point person

(ii)   Printed copy of signed letter on the NGO/company letterhead authorising the representative/s to collect number bibs on behalf of the group. 

(iii)  Govt. approved photo ID proof of the representative.

  1. No running number will be posted to individual mailing addresses for whatsoever reasons. Further, no number bibs will be handed over to any participant post the declared closing hours of the Expo – by 5 p.m. on Saturday, 16th December 2023.

While registering online, what should I do if the amount is deducted from my account but my transaction status is shown as pending?

What should I do if I am unable to open the registration website?

We recommend you to use an updated version of Mozilla Firefox or Google Chrome for an optimized registration experience. You should also clear the cache and cookies and retry. If the problem still persists, send us a screenshot of the error at tsk25k@procam.in 
 

On what grounds can my application be rejected or declared invalid?

Your application can be rejected on any of the grounds listed below. A regret email will be sent to the email ID mentioned in the form spelling out the reason for not accepting your application.

  1. Incomplete form submitted.
  2. Waiver & consent not signed.
  3. Applicant is underage for the race chosen.
  4. Mutilated form/cheque/demand draft submitted.
  5. More than one application received from the same applicant for an event.
  6. Short receipt or non-receipt of application fee.
  7. Required documents not attached/submitted/submitted documents not valid.
  8. Running places are full.
  9. Any other reason.

How can I book my bib pick up slot at the Mirchi Get Active Expo for the TSK25K 2023?

For this edition, participants will be given options to choose their bib pick-up time slot from the Mirchi Get Active Expo from Thursday, 14th December to Saturday, 16th December 2022, participants will need to choose their bib collection time slots. Slots will be assigned on a first-come, first-served basis. Confirmed participants residing in Kolkata are requested to choose their bib collection time slots across 14th and 15th December, allowing time slots available on 16th December for outstation participants to collect their number bibs. 

To book the bib pick-up slot date and time, follow the easy steps:

1.     Please click here

2.     Login with your registered email address.

3.     Click on the “Profile”, on the top right-hand side corner.

4.     Click on the “Events”, on the left-hand side panel.

5.     Select the event “ Tata Steel Kolkata 25K”.

6.     Scroll to the bottom of the page, select the bib collection date and time slot from the available slots between Thursday, 14th December to Saturday, 16th December 2023 at the Mirchi Get Active Expo, and click on “book”.

7.     Click on “Logout”, on the top right-hand side corner to log out from your profile.

Note: Confirmed participants residing in Kolkata are requested to choose their bib collection time slots across 14th December and 15th December 2023, allowing time slots available on 16th December 2023 for outstation and overseas participants to collect their running number bibs.

Please note that bib collection slots will be assigned on a first-come, first-served basis.

Applicable for individual applications only. Members of groups/corporates to contact their Group/HR SPOC for bib collection.

Is a Goodie bag available to all participants of TSK25K 2023?

Yes. Registered participants will also receive a Goodie Bag.

Can you post me my Running Number Bib?

No. All participants must come to the Mirchi Get Active to collect their Bibs.

Can I transfer my bib to somebody else or somebody else can run on my bib?

No, it cannot be transferred to somebody else.  Race day images of participants will be screened visually after the race and if any of the participants is found not wearing the running number bib allotted to him/her, the participant registered for that bib will be disqualified from the race and the subsequent edition of the event in 2024. Further, Procam International reserves the right to take necessary legal action against the registered participant and the person who has used the running number bib on race day, for impersonation.
IMPORTANT: All running bibs have a unique barcode affixed to it. This barcode is synced to the personal details of the registrant, including photographs, submitted by them while registering. All running bibs will be scanned at the entrances of the event venue. Persons without a bib or wearing an incorrect or invalid bib, or where the photograph submitted along with the form does not match with the person wanting to enter the venue, WILL NOT be allowed entry. For Groups, do make sure that you distribute bibs as per the list shared with the group POC and assigned by the Promoter. You are sincerely advised NOT TO EXCHANGE THE RUNNING BIB WITH ANOTHER PARTICIPANT/PERSON. Procam International will also blacklist the group from participating in the next edition if the group is found to have distributed bibs to non-registered participants/incorrect participants.
 

Will I get my bib replaced in case I lose it, or post a bib collection?

No, we will not be able to replace any bib once it has been collected from our end. 

Can I register on the day of the event?

No. Requests for registration will not be entertained after closure of respective registration dates.

Will my performance at the Tata Steel Kolkata 25K 2023 event be considered for the Procam Slam?

Will I get a Race Day Singlet/T-shirt?

All confirmed 25K participants will receive a T10 sports race day tee at the Bib Collection Centre within the Mirchi Get Active Expo. The Event Promoter and T10 (Event’s Sports Goods Partner) will try their best to accommodate the size selected by you. However, if unavailable, the next best available size tee will be offered. Any request for change of size/colour of the Race Day Tee will not be entertained. 

Will I get a Finishers tee?

Top 1000 Men and Top 1000 Women finishers of Open 10K race category will be entitiled for a finishers tee. Information on how to collect the tee will be sent on your registered email address within 60 days of the race.

What are the instructions to be followed before starting with the online registration?

Gearing up for online registration, save time and effort by paying attention to the appended instructions before you proceed:

* Keep scanned copy of your photo ID proof, passport size photograph and vaccine certificate files ready in .jpeg/ .png format (file size not more than 1 MB), before you click the “Proceed” button at the bottom.

* For security reasons, please DON’T use following characters anywhere on the registration form, in file name (attachment), your profile password and in website link.
