ENTRY RULES AND GUIDELINES

Please thoroughly go through all information mentioned in the application form prior to submitting your application. Confirmation of applications received will be subject to the Entry rules and guideline given herein.

  • You may use a photocopy of the physical or a downloadable form, from the event website to send in your application.
  • Only one applicant can apply for the Event using a single form. Also, do not send in more than one entry per person; multiple applications will entail all being rejected
  • Applicants must submit their entries only via the Application Modes. No individual/group has been authorised to collect entries on behalf of the Event.
  • NO GROUP ENTRIES will be accepted for the 25K Run category, only individual application will be accepted for the 25K Run. One representative can submit application forms for maximum 5 individual runners for 25K Run category.
  • Groupentries will be accepted for the Open 10K, Ananda Run, Senior Citizens’ Run and Champions With Disability. However, please note for collection of running number bibs, all confirmed participants of the Open 10K, whether applied as an individual or through a group, needs to come personally at the Get Active Expo to collect his/her running number bib.
  • Group entries
    • Where 20 or more individuals submit their entries together, this will constitute a group entry.
    • DO NOT add 25K Run entries in any group. Such entries will be disqualified. Only individual applications will be accepted for the 25K Run category.
    • Only applicants for the Open 10K, Ananda Run, Senior Citizens’ Run and Champions with Disability categories can apply as a group; the 25K Run category is open for individual entries only.
      • Online group registration using scratch card 
        • All the members of the group need to register individually on https://tatasteelkolkata25k.procam.in
        • Each group need to purchase the scratch cards in advance and distribute them to its members. At the time of purchasing scratch card, the group needs to provide below mentioned documents:
          • PAN Card of the company/NGO/any other entity.
          • A covering letter on an official letterhead issued by the company/NGO/any other entity. Format of the covering which include the following:
            • Name of the group.
            • Total Number of entries to be submitted
            • Details of Payment made to purchase scratch cards in bulk i.e. Cash/Cheque/DD/Card Payment, date of purchase, amount, bank details in case of Cheque/DD submitted.
            • Name, contact number, email id of the one point of contact of the group and address of the company/entity/NGO.
            • GST Number of the company/entity/NGO to raise an invoice
            • State Name and State Code to raise an invoice
          • The cheque/DD should be of the consolidated value of application fees applicable for each individual group member. The cheque/DD should be drawn in favour of “Procam International Pvt. Ltd.”.
          • Post submission of the above given documents, an invoice will be sent to the point of contact’s postal address mentioned in the covering letter.
          • Purchasing scratch cards does not guarantee entry to the event and the members of the group need to register online on https://tatasteelkolkata25k.procam.in using scratch cards before the registration end date or till the running spaces are available. Event promoters will close registrations as and when the running spaces are filled.
          • Once scratch cards are purchased, it can only be used online for TATA STEEL KOLKATA 25K 2019 edition and till the time registrations are open or running spaces are available. Unused scratch cards cannot be returned or cancelled, and the amount paid for purchasing unused scratch cards will be refunded after deducting processing fees of Rs 150.
          • Online entries using any other payment mode other than scratch cards will not be treated as a group entry.
          • All requisites to register online by an individual need to be fulfilled to complete online registration.
      • Physical Forms
        • All members of a group must fill and sign individual application forms. Under ‘Application Type’ in the application form, applicants need to choose ‘Group’, mentioning the group name and size of the group.
        • Only one cheque/DD will be accepted for group entries. This cheque/DD should be of the consolidated value of application fees applicable for each individual group member. The cheque/DD should be drawn in favour of “PROCAM INTERNATIONAL PVT. LTD. ”.
        • Each group must submit their entries together at one time along with a copy of PAN card of the company/NGO/ any other entity, in a single envelope under a covering letter of the company/NGO/ any other entity as per the .
          • Name of the group.
          • Total Number of entries to be submitted
          • Details of Payment made to purchase scratch cards in bulk i.e. Cash/Cheque/DD/Card Payment, date of purchase, amount, bank details in case of Cheque/DD submitted.
          • Name, contact number, email id of the one point of contact of the group and address of the company/entity/NGO.
          • GST Number of the company/entity/NGO to raise an invoice
          • State Name and State Code to raise an invoice
        • Post submission of the above given documents, an invoice will be sent to the point of contact’s postal address mentioned in the covering letter.

  • Before sending in your application, please check the following.
    • have filled in details against all mandatory fields prefixed with ‘*’ in the application form,
    • have affixed a copy of your latest colour passport sized photograph on the form. All participants’ race day images will be screened visually after the race and matched with the photo provided at the time of registration. If the photo provided during registration does not match with race day photo of the confirmed participant, the registered runner will be disqualified from the race and the subsequent edition of the event in 2020;
    • have attached a copy of either your Aadhar card, PAN card or passport to the form which has complete date of birth on it;
    • have enclosed the requisite application fees mentioned in this form
    • have signed the ‘waiver’ in the form;
    • have signed the ‘consent’ in the form;
    • If applicant is below the age of 18 years, the guardian has also signed the ‘waiver’ and written his/her relation with the applicant, (applicable only for Open 10, Ananda Run and Champions With Disability applicants);
    • Have met the minimum age eligibility criteria for the chosen race category.
  • Where any discrepancy is found in the application and documents submitted, the same will not be accepted.
  • Application status:Post 07 working days of registrations closure, individual applicant is required to go online here and check his/her application status. In case of group entries (Open 10K/ Ananda Run / Sr. Citizens’ Run / Champions with Disability race categories), the point of contact of the group will be receiving email confirmation for confirmed participants of the group.   • Entries not accepted: Participation in the event is subject to entry confirmation. Where your entry is not confirmed for any reason, the entry fees paid by you will be refunded on or before 15th January 2020. An amount of Rs. 150 will be deducted as processing charges. You will be required to provide your bank details on a link provided by the Event’s Registration team. Any refund discrepancies must be brought to the attention of the Event’s Registration Team immediately. Refund queries will not be entertained post 31st December 2019.
  • Running number bib collection:
    • All confirmed participants/their authorised representatives are required to come to the Get Active Expo in Kolkata, scheduled from 12th December 2019 to 14th December 2019. in order to collect their running number bibs. No running number will be posted to individual mailing addresses nor distributed on race day, i.e. 15th December 2019
    • In case of unavoidable circumstances, such runner can send his/her authorised representative to collect running number bib on his/her behalf. Please note, a representative will not be allowed to collect running number bib on behalf of more than TWO Ananda Run / Senior Citizens’ Run/ Champions With Disability participant
    • Authorised representative must carry with him/her (a) the website confirmation downloaded from application status on https://tatasteelkolkata25k.procam.in, (b) photo-identity proof (Aadhar card, PAN card or passport) of the representative and the confirmed participant.
  • Requests for cancellation and thereby refund, will not be entertained. Further, application fees shall not be refunded by virtue of non-participation, including failure by a confirmed participant to collect his/her from the expo.
  • Confirmed runner’s identity and proof of residence may be verified by a verification agency hired for validating the details provided by you in the form. Where any information and/or any document provided by an applicant/runner at any point in time is found to be incorrect, participation of the said runner shall be withheld/ disqualified and there will be no refund of application fees paid by the runner. All benefits accruing to the said runner as a participant of Tata Steel Kolkata 25K 2019 shall stand forfeited.
  • All participants’ race day images will be screened visually after the race and if any of the participant is found not wearing the running number bib allotted to him/her, the participant registered for that bib will be disqualified from the race and the subsequent edition of the event in 2020. Further, Procam International reserves the right to take necessary legal action against the registered participant and the person who has used the running number bib on race day, for impersonation.
  • This application form and the right to participate in the event and the rights and benefits available to the applicant under this entry form is at the sole discretion of the event Promoters, Procam International Pvt. Ltd., and cannot be transferred to any other person under any circumstances. The applicant alone shall be entitled to the rights and benefits arising out of such confirmation of participation
